Due to the continued growth of Oliver James' contract business, we're looking for a driven compliance coordinator to join the growing Screening team in Manchester. Your role will be to effectively onboard our contractor base whilst working internally to ensure all processes are followed accurately. You will be responsible for transactional work alongside project-based tasks.

Compliance Coordinator

Due to the continued growth of our contract business, we're looking for a driven compliance coordinator to join the growing Screening team in Manchester. Your role will be to effectively onboard our contractor base whilst working internally to ensure all processes are followed accurately. You will be responsible for transactional work alongside project-based tasks.

Skills, Capabilities and Attributes

The successful candidate will demonstrate the following experience, skills, behaviours and be able to fulfil the requirements of the role:

  • Demonstrate a clear understanding of best practices in relation to pre-employment screening methods and processes including any legislation updates and changes
  • Have a clear understanding of the processes that need to be carried out to complete pre-screening
  • Previous experience working within an employment screening function and with outsourced vetting providers
  • International / Cross border pre-screening experience
  • Demonstrable working knowledge of government legislation in relation to employment screening
  • Excellent written and verbal communication skills with the ability to confidently communicate with candidates through to senior management
  • Ability to effectively balance conflicting priorities whilst keeping to tight deadlines
  • Excellent attention to detail
  • Previous experience with Recruitment/MSP/RPO background is desirable
  • Experience of analysing and evaluating various forms of data and creating varied reports for exec and board level
  • Experience of using Microsoft Office, particularly Excel

The Responsibilities

  • Ensuring all new contractors are fully screened as per Oliver James requirements prior to the contractor's start date, and managing the process from start to finish
  • Running all placements through our internal screening portal
  • Calling candidates to talk through onboarding process and answer questions
  • Creating clients and screening requirements on the screening portal, along with documentation and client specific forms
  • Requesting all employment references for candidates, accountant, character and Regulated references
  • Requesting all screening checks such as professional qualifications, DBS, Credit check, international fraud sanctions
  • Creating both candidate contracts and client paperwork, using templates provided by Legal team
  • Creating all extensions paperwork, chasing client confirmations
  • Using EchoSign to send all contracts/consent forms
  • Knowledge of cross-border working and highlight risk to the business in regards to A1 use and cross border assignments
  • Checking all contractor limited companies/working vehicles are compliant with OJ Rules of Engagement
  • Updating and ownership of risk log - highlighting issues to manager
  • Right to work documents checks, chasing any Visa expiring before end date of the assignment
  • Organising ID Check, Visa verification in office
  • Resolving inbox queries
  • Completing external reference requests
  • Owning MSP/RPO changes to contractor base, changing/creating new client records on RDB and communication with consultants for changes and extensions to be raised
  • Reporting progress of candidate onboarding on a weekly basis - team meetings
  • Obtaining waivers from client in regard to candidate screening checks
  • Monitoring client/RPO portals for compliance documents, confirmation of assignments and extensions - generation where required
  • Population of termination letters
  • Updating internal system with dropper, early finish information
  • Training new members within the team on screening requirements and contract process
  • Project work - to be agreed per quarter with Manager
  • Supporting in RPO/MSP transitions - including candidate calls, contracts and system changes
  • Liaising with Umbrella companies and request compliance documentation when required
  • Dealing with RPOs and Third Party screening companies for on-boarding queries
  • Chasing missing paperwork, contracts, screening documents, client confirmations
